Ask whether the software assigns work, stores comments, sets due dates, and records approvals. Test role limits and an employee handoff.

If you need vendor follow-up, ask whether the provider supplies a finding only, drafts a question, tracks the issue, or manages communication. These services have different costs.

Price reporting and retention

Required outputs may include spend by site, charge changes, unresolved items, credits, and contract variance. Define each report before the trial.

Ask how long source invoices, structured fields, decisions, and audit history remain available. Confirm storage limits and archive fees.

EPA’s commercial waste guidance recommends tracking waste activity to create a baseline and support service decisions. Invoice records can support cost tracking, but they may not contain complete material weights or destinations.
